Patient Module

The Patient Module lets you create new patient records and search for an existing patient. All demographic, contact, insurance, guarantor, referral, patient notes, and encounter information is available in the patient file.

The Patient Search option allows you to search across the organization for a specific patient.

You provide a search criteria (for example: patient number, last name, or SSN), enter the information you know, and a list of matching patients appears. 

When the patient is selected from the list, the Patient File opens to allow viewing or editing of the patients record.

Patient Module - Demographic Tab

Patient File information is divided into tab categories for easier maintenance. 


Use the Demographic tab to maintain general patient information, including the patient number, primary provider, fee schedule, and even a legacy patient number from another system. 

A unique feature on this tab is address sharing. This allows one-time entry of the patient household address that may be used for all household members when their files are created.

The Contact tab lets you maintain employer and emergency contact information.

The Insurance tab allows you to maintain insurance plans for the patient. This includes details about the insured, their relationship to the patient, and the insured's contact information, as well as the insurance company, claim address, and coverage information.

Patient Module - Insurance Tab

When you add insurance coverage, a wizard walks you through the process of entering the essential information. 

Up to three insurance companies can be billed per claim, however, an infinite number of insurance companies may be linked to the patient.

The Guarantor tab allows you to assign multiple guarantors to a single patient. This lets you bill commercial insurance companies and workers' comp on a single patient. Additionally, the guarantor ledger, allows you to view each guarantor balance individually.  

The Referral tab allows tracking of incoming and outgoing referrals and pre-authorization numbers on one screen. This tab lets you track the number of referral visits the patient has been allowed and has used based on their insurance companys requirements.

The Note tab lets you maintain any necessary notes to the patients record. Notes are listed by subject.

The Encounter tab is the gateway to accessing charges. 

Patient Module - Encounter Tab

From this tab you can maintain scheduled visits and encounters for the patient. 

You can create new encounters including walk-in encounters and even view or edit charges related to an encounter.

After creating an encounter, the system automatically navigates to the Charges module.
